Archives & Records Center is the official repository for the records of the Archdiocese of Chicago and gateway to its past. As the institutional archives, its purpose is to identify, preserve, and make available Archdiocesan records, which have long term value for local, national and international communities.

The Archives & Records Center, with more than 8, 000 cubic feet of archival materials, constitutes one of the world’s largest repositories of Archdiocesan Archives. It was erected in accordance with Canon 482, which designates the Chancellor with the responsibility for the Archives. The Vice Chancellor for Archives & Records reports to the Chancellor and is granted canonical faculties to fulfill this mandate.

We welcome any and all researchers to the Archives. Our facilities are available to genealogists, parish historians, and anyone interested in the history of the Archdiocese of Chicago.

I did a photo digitization project. The work atmosphere was pretty relaxed, the project had fairly clear goals and I was able to learn about their content management system. It helped confirm that I enjoy working in archives. The best part of the trip was the opportunity to gain additional work experience in my field.

Priests' Directory Photographs

The Archdiocese of Chicago's Communications Department created a fairly widely distributed photo album of all of the living diocesan priests of the Archdiocese of Chicago. The images in the album are convenient for quick reference but useless in terms of duplication or publication. Communications recently send all of the original images to the Archives for permanent storage and reference use. These images need to be scanned at 600 dpi (to be imported into Trim database by Electronic Records Manager) and arranged in folders and boxes for safe-keeping.

The Archives & Records Center has 83 boxes from Financial Services containing records from 1975-2005 organized by parish and agency. Since FS would not leave the file folders with the records the boxes contain paper separated by a piece of paper with the agency/parish name. The files have the following types of records: correspondence loan agreements contracts property agreements e-mail messages faxes receipts deposit information bank statements check requests (originals and copies) and check copies. There are 69 boxes of files for parishes (and grammar schools sometimes in the same grouping) and 14 for agencies (and high schools). The goal of the project is to weed out all financial records since they are past retention. All correspondence including faxes and e-mail messages and other records including contracts should be separated by record type and placed in a file folder with the name of the agency school parish or institution written at the top. All material being prepared for destruction should be documented on an Authority to Dispose of Records Form.

This is a great project for someone interested in records management.

Catholic Bishop of Chicago Correspondence Folder Level Entry

Each box of Cardinal Bernardin's (131 boxes) and Cardinal George's (20 boxes) correspondence includes a box list. While all of the boxes have been entered into Trim many of the folders have not. This project is simply the entry of each folder into its appropriate box in Trim. Even if the box list exists in the notes field of the box each folder must be entered. Some box lists have been provided for us in digital form by the Office of the Archbishop. Those lists will need to be cut & pasted/imported into the appropriate spreadsheets. Interns will not need to enter the information directly into Trim. The Electronic Records Manager will export the box records and provide a spreadsheet for data input. The Electronic Records Manager and Assistant Archivist will import the completed spreadsheets back into Trim when the data entry is finished. The project will begin with Cardinal Bernardin's papers and move on to Cardinal George's papers.
