Inventory all the different forms and varieties of data included in PAI's Why Population Matters materials. Create ideas for new ways to present the data in engaging and interactive teaching formats. Develop a plan to create those formats. Goal: Repackage the Why Population Matters data and present it in new formats that attract people and engage them in some sort of participation (e.g., a game format, a "what if" format, etc.). | ||
International AIDS Conference Resource CD for PAICode: PAI-02 |

Develop the framework/structure for a CD for electronic resources (PDFs, videos, word processing documents, html pages, and similar) that PAI will distribute at the International AIDS Conference (IAC) in Mexico City, August 2008. The CD navigation should be browser-based. Planning needs to be done around how to best organize and present these electronic resources so that users can easily understand, navigate and select from material that encompasses multiple formats, subjects, and languages (languages PAI publishes in: English, French and Spanish). As time permits: working with the Communications Department to create or propose a PAI-branded appearance on the CD physically and electronically throughout the CD. Goal: Present PAI's electronic resources on a portable CD for the IAC, logically categorized with easy navigation to increase dissemination of critical information to target audiences at the IAC in Mexico City. | |
Caucus for Evidence-Based Prevention Website Resource SectionCode: PAI-03 |

Review electronic resources contributed by member organizations to their shared Caucus website. Review the issues and propose broad taxonomy groups. Create a resources section on the Caucus website (hiv-prevention.org) that organizes access to all electronic resources, using the issues taxonomy as a guideline (upload the resources to the new resources page). Create or propose a method for member organizations to submit new electronic resources for inclusion in the resource section. Goal: The Caucus is comprised of over 50 very different NGOs all engaged in the fight to prevent and treat HIV/AIDS. One of the Caucus' purposes is to provide the global community with critical information regarding the best methods and approaches for treating and preventing HIV/AIDS. A well organized resources section that is easily self-service will increase the Caucus' ability to disseminate critical information. | |

Review the metadata terms currently used on PAI's CMS (Crownpeak) for PAI's website (www.populationaction.org), in PAI's Library Holdings database Genie, in PAI's PhotoBase and other electronic repositories. Make recommendations for metadata that would be consistent across the organization's other repositories that hold completed intellectual content created by PAI. Goal: A universal taxonomy structure will provide PAI with a consistent taxonomy across all electronic resources so all information is universally accessible and searchable. | |

Review the CMS workflow for creating new website content. Develop an easy to use additional workflow to automatically push completed, finalized material to DocuShare. The workflow will be an additional step and should push the content to a specific area of the DocuShare repository (to be identified). Goal: Adds value to an existing system that creates content for PAI's website by ensuring that the content is available for future reference and reuse in an environment that secures it and provides staff members with easy self-service access. | |

Review the Media Inventory to be digitized (to be performed prior by Communications). Decide the most appropriate approach to digitizing each type of material for future access. Decide whether to store these assets in an existing digital archive, a planned internal ECM (DocuShare) or an alternate location. Develop or propose file naming conventions and a metadata / taxonomy / folder structure for the new digital version of the collection. The proposed naming conventions and storage structures should be consistent with PAI's general taxonomy. At week's end, present proposal to the ePAI and Communications department personnel. Goal: PAI has a small but valuable audio/video collection which is poorly indexed and in formats that will soon be inaccessible (VHS, etc.). Creating an inventory and identifying media which needs converting will increase the value and use of the media by securing it and making it easily available via self-service. | |

Review PAI's photo resources, including the PhotoBase. Design a landing page (can include subpages) that is visually attractive and compelling for PAI's Photo resources. The landing page needs to include instructional information and guidelines, incorporate Sharepoint work flow to "take staff members by the hand" and guide them through the proper method for submitting photos into PAI's PhotoBase. Present landing page to staff members at the end of the week. Goal: PAI's staff members take a high volume of photos during field trips, conferences, events, etc. These photos, if easily search and accessible, are very valuable for reuse in donor reports, annual reports, publications, the website, etc. Staff members often fail to understand what images are most valuable and how to properly submit photos incorporating guidelines and work flow to put that information easily at hand will enable staff take images that compel viewers towards PAI's work and will ensure that staff members can properly and timely submit images for use in PAI's PhotoBase. | |

Review results of survey for news alerts and other forms of news/media sources that PAI staff members utilize. Rank the sources according to popularity and relevance to PAI's work (Tyler LePard will provide guidance on relevanace ratings). Design a news resource landing page on PAI's Microsoft Office Sharepoint Services portal to present the news sources in different formats (RSS, email, list service, etc). Develop a variety of alert mechanisms. Create or propose a method for staff to submit new sources. Present the News and Information landing page at the end of the week to staff with a brief training session on how to subscribe to, use and submit new sources. Goal: PAI staff members often filter a great number and variety of news feed and resources thus creating a rich and relevant information base. However, these sources are often read and stored in silos, making them unavailable except to those who monitor and filter them. By centralizing all the filtered sources, staff members will have quick and easy access to a greater and richer source of information for their work. | |

Update the repository structure to include links to PAI's electronic resources available and to help, instructions and Standard Operating Procedures in a format that is attractive and easy for users to self-serve. Making the materials and instructions/guidelines for using them accessible in an attractive and easy-to-use self-service format for staff members will increase the value of PAI's intellectual content. | |
